What's Included

All bookings include the following as standard:

Booking & Payment

• A booking is not confirmed until a 50% deposit has been received.
• Prices shown are exclusive of Costa Rica's 13% Value Added Tax (IVA), which is added to your total at checkout — both your 50% deposit and remaining balance are calculated on the VAT-inclusive total.
• You may pay by credit/debit card or bank transfer:
  • Card — your card is saved securely on file, and the remaining 50% balance is automatically charged on the morning of the event. You'll receive an automated email and WhatsApp notification when this happens. If the charge fails (e.g. card declined), you'll be contacted directly to arrange payment before the event.
  • Bank transfer — your date is held for 48 hours while your transfer clears. You may choose to transfer the 50% deposit or the full amount upfront. No card is kept on file for bank transfer bookings — the remaining balance, and any damage charges (see below), will be invoiced to you directly instead of auto-charged.
• The Company reserves the right to refuse any booking at its discretion.
• Additional services requested after booking may incur additional charges.
• For card bookings, the card on file is also used for the Security Deposit described below.

Security Deposit

Instead of a fixed upfront security deposit, your card details are securely saved on file at the time of booking (via Tilopay's tokenization) — no additional funds are charged or held at booking. This applies to card payments only — bank transfer bookings do not have a card on file (see Booking & Payment above).

• If equipment damage, loss, or theft is identified during the post-event inspection, the Company may charge the card on file (card bookings) or invoice you directly (bank transfer bookings) for the assessed amount, in line with the Damage & Replacement schedule in the Terms & Conditions.
• You will be notified of any such charge and the reason for it.
• No charge will be made without a documented reason tied to the event.

Equipment Care

Our equipment is premium and professional-grade. The booking holder is responsible for any damage, theft, or loss occurring during the event. Please ensure:

• Children do not operate equipment.
• Food and drinks are kept away from electronics.
• Equipment is not moved or tampered with.
• Equipment remains at the agreed location.
• Guests treat all equipment with care.

Venue Access & Setup

Our crew requires access to the venue at least 90 minutes before your booked start time to set up the equipment.

• Please arrange any gate, security, or community access in advance. Most villas are in gated communities.
• Delays to setup caused by late or restricted venue access may shorten the event or push back the start time, and may incur additional charges.

Weather

Outdoor events are weather dependent. For the safety of guests and equipment, the Company may delay, modify, suspend, or cancel setup if conditions are unsafe — including rain, lightning, strong winds, or flooding.

• If conditions or forecast make the event unsafe or unviable, the Company will arrange a new date. This decision rests solely with the Company, not the Client.
• If the Company is unable to offer a new date due to scheduling availability, the deposit will be refunded in full.

Internet & Streaming

For sports and live events, a suitable internet connection is required. Solenne may provide connectivity where agreed in advance. The Company is not responsible for interruptions caused by internet outages, streaming platform failures, or third-party service interruptions.

Cancellation Policy

Your booking is secured with a 50% deposit.

• Cancel more than 7 days before your event — deposit fully refunded.
• Cancel within 7 days of your event — deposit is non-refundable.
• Weather: Solenne decides whether the event can proceed and will arrange a new date if not — see Weather section above.
• Card refunds are processed automatically to the card on file. Bank transfer refunds are arranged manually by the Company.

This policy applies uniformly across all Solenne Collective experiences, whether booked online or arranged directly with the Company.

Damage Charges

The booking holder accepts responsibility for all equipment supplied during the event. Charges may apply for accidental or negligent damage, missing equipment, theft, and excessive cleaning. Card bookings are charged to the card on file; bank transfer bookings are invoiced directly. A full damage and replacement schedule is available on request and is set out in the Terms & Conditions.

Agreement

By ticking the confirmation box during the online booking process, you confirm that:

• You are at least 18 years old.
• You are authorised to make this booking.
• You accept Solenne Collective's Terms & Conditions.
• You accept responsibility for all equipment during the event period.
• You will provide venue access at least 90 minutes before your booked start time for setup.
• You authorise Solenne Collective to securely retain your card details on file (for card bookings), to automatically charge the remaining balance on the morning of your event, and to charge this card — or invoice you directly for bank transfer bookings — for verified equipment damage, loss, or theft identified during post-event inspection.

Ticking the box constitutes your agreement and carries the same effect as a written signature. We look forward to creating an unforgettable experience for you.
